Operations Manager
Job Description
​
The Operations Manager is responsible for the smooth and efficient running of the Land Trust of Virginia’s (LTV) office, located in Middleburg, Virginia. This position involves a range of duties that include overseeing office operations and providing administrative, staff, and event support.
This is a part-time (25 hours per week), in-person, non-exempt, permanent position reporting to the Executive Director. There is opportunity for growth in this position, in hours, responsibilities, and roles. Starting date by September 1 or earlier.

LTV is a 501(c)3 non-profit organization dedicated to helping landowners conserve their properties through conservation easements. LTV is an accredited land trust and holds more conservation easements than any other private land trust in Virginia. LTV holds 274 conservation easements, protecting more than 35,000 acres across 36 counties.
Compensation
​
$25- $30/ per hour, commensurate with experience. This position does not include benefits.
​
Work schedule can be somewhat flexible, and some tasks may be done remotely.
​
Primary Responsibilities
​

Be the point person for all office-related functions and vendors to maintain computers (with help from our tech support company), printer/copier, phone, internet, and stewardship monitoring equipment.

Inventory and maintain stock of necessary supplies for daily operations, as well as special events. Receive, unpack, and set up deliveries of supplies.

Handle payment of invoices, reimbursement requests, and other payments.

Keep daily mail log, deposit log, and make bank deposits.

Enter all donations into donor database (Little Green Light) and generate acknowledgement letters.

Work with bookkeeper to ensure accurate and timely accounting and produce reports as needed.

Procure all permits needed for special events.

Assist with set-up, production, and clean-up of special events (2 – 4 per year).

Assist in gathering and organizing all materials for audits and other reporting.

Assist in preparation for meetings: Zoom setup, organizing materials, and other arrangements as needed.

Do onboarding paperwork and computer setup for new employees and interns.

Manage insurance paperwork.

Keep office tidy and clean.

Support staff as able and requested.
Skills and Qualifications

High school diploma required; further education and/or training preferred.

Three or more years of office management-related experience.
Non-profit human resources, accounting, and/or executive assistant experience preferred.

Proficiency in Microsoft Office software, QuickBooks, Outlook email, and database management.

Superior customer service skills and demonstrated ability to be a team player.

Understanding of basic accounting policies and procedures.

Highly organized with superior attention to detail.
-
Interest in land conservation, especially the work of land trusts and conservation easements.

Ability to occasionally work evenings and weekends, and provide your own transportation.

Eager to learn new things, motivated, curious, and engaged.

Possess initiative, integrity, and a sense of humor.
-
Ability to lift and move up to 30 pounds.
Workplace Culture

We – the staff, Board of Directors, and volunteers of LTV - take our work very seriously, and we also believe in fun and a healthy work-life balance. We have weekly staff meetings where we share what we’re working on and where we might need help. We go out for lunch or happy hours to celebrate personal and organizational milestones. Dogs (Murphy, Tig, and Phoebe) are sometimes present in the office. We are a dedicated, close-knit, and mostly new staff of 6, eager to welcome a new member to fill a critical role on our team.
